City Clerk's Office

The City Clerk’s Office consists of the Administrative Services Director/City Clerk, Deputy City Clerk, Records Clerk and the City’s Receptionist. The City Clerk’s Office is responsible for the following:

 

City Council Agendas and Minutes

The City Clerk's Office is responsible for preparing all City Council meeting materials (agendas and minutes). The agenda lists the items that will be considered by the City Council during a particular meeting. The minutes are the record of the actions taken by the City Council during a meeting.  Minutes are presented to the City Council as an Agenda item for approval.

 

Elections

The City Clerk is responsible for conducting all General Municipal and Special Elections for the City. The last General Municipal Election was held on Tuesday, November 6, 2007. Three City Council seats were voted on.

 

Public Records

Another important function of the City Clerk's Office is Records Management. As the official record keeper for the City, the City Clerk is required to keep an accurate record of the proceedings of all City Council meetings and to document the actions of the City Council.

The most common records created by the City Council are: ordinances, resolutions, contracts and agreements, and minute orders. The City Clerk's Office is responsible for maintaining these records. The Clerk's office is also responsible for having the ordinances codified and made a part of the City's Municipal Code.

Under the Public Records Act, the City Clerk's Office must make public records available to any member of the public upon request. All records are available for view at City Hall, 15900 E. Main Street, La Puente, CA between the hours of 7:30 a.m. to 5:30 p.m. Mondays through Thursdays and alternate Fridays between the hours of 8:00 a.m. and 5:00 p.m. The Clerk has 10 days to determine if a record is a public document.

There is currently a nominal copying charge of 25¢ per page.  To obtain a copy or view any public document, a request form is to be submitted to the City Clerk's Office.  Forms are available online and may be completed and faxed to City Hall at (626) 961-4626.

 

Passports

The City of La Puente has been designated a Passport Acceptance Facility Service by the U.S. Department of State. Passport applications must be processed in person at the City Clerk's Office, 15900 E. Main St., La Puente, CA 91744.

 

Customer Service

The Receptionist is the customer service representative for the City. The receptionist is responsible for selling bus passes, incoming and outgoing mail and the City's switchboard.
